The Role of Academy Operations Coordinator (U15-B Team)
Main Accountabilities
Scheduling, Administration & Communication
- Create and process Purchase Orders and invoices for all travel and logistics suppliers, and track Academy Operations spending on trips, tours and matchdays
- Produce, monitor & update weekly, monthly & yearly schedules of the Academy programme
- Chair & support meetings with key stakeholders from respective interdisciplinary teams (Coaching, Recruitment, Performance, Sports Science, Medical, Education, Safeguarding & Welfare) to coordinate programme requirements with the schedule
- Ensure that schedules are communicated with staff, parents and players effectively, via the appropriate channels
- Monitor and support the updating of the Football Intelligence Platform (FIP), PMA, and any other records required for compliance with Premier League, UEFA or other regulations
- Contribute to the authoring, implementation and review of Academy policies
Matchday Operations
- Collate matchday information for players, parents and staff and ensure effective communication via the relevant channels
- Oversee all match preparations, including but not limited to match officials and their expenses, scouts, facilities, hospitality, transport, accommodation, food and accreditation
- Prepare & distribute a welcome pack for opposition teams that contains relevant match day information to be shared in advance
- Attend Academy home games, meet the opposition upon arrival and provide them with relevant match day information
- Conduct reviews of matchdays, collecting feedback from key stakeholders, maintain records, produce recommendations and implement improved processes
Trips & Tours
- Plan Academy teams’ travel schedules in line with high performance, welfare and safeguarding requirements
- Coordinate logistics planning for Academy off-site training camps and tours, including security, safeguarding, health & safety and contingency plans
- Ensure all trips are conducted in line with Premier League regulations and the club’s Safe Event Management Policy
- Research and book travel, hotels and other venues, suppliers or activities as required, carrying out site visits for training camp and tour locations where appropriate
- Ensure effective communication of all travel and logistics timings and arrangements with staff, players, suppliers and opposition
- Prepare information packs for players, staff and parents that contain relevant tours/tournaments/camps information to be shared in advance
- Travel with the squad for matches abroad, tours, tournaments and training camps and act as team coordinator
- Conduct reviews of all trips and tours, collecting feedback from key stakeholders, maintain records, and produce tour reports with recommendations

Person Specification - Essential Personal Characteristics
- Excellent age-appropriate communication and interpersonal skills, with the ability to tailor the style to different situations
- Strong organisational skills and attention to detail
- Calm under pressure and adaptable to changing situations,
- Professional mindset and sound judgement, to be able to liaise with a range of people from professional footballers to young children and their parents, often dealing with confidential information
- Driven and motivated to set high standards and achieve company objectives
- Able to both take their own initiative and work as part of a team
- A flexible attitude to work, and a willingness to work evenings and weekends
